The Approval Inbox: The One UI Every Agent-Enabled Business Needs
If agents do the typing, humans need a place to do the deciding. An approval inbox is that place. Done badly it is a queue people ignore; done well it is where a small team spends a short, focused part of its day.
This is a piece about the pattern. To be plain: AI PRO CRM does not include an approval inbox today. Agent writes are limited to internal notes by preset, daily cap and idempotency; external governance is not connected yet.
What each item must show
- The diff. Field, old value, new value.
- The reason. The agent’s justification, ideally with the evidence it used.
- The context. The record’s recent history and any related open proposals.
- The identity. Which agent, who owns it, what role.
- The actions. Approve, edit and approve, reject, with an optional note back to the owner.
Everything on one screen. If a reviewer has to click through to the record to decide, the inbox has failed.
Keeping it small
An inbox with hundreds of items is a rules problem. Let routinely approved, low-risk actions through automatically, keep consequential ones for review, and use hard limits to catch runaway volume. Changes that are always approved are candidates to stop reviewing.
Ownership and routing
In a well-designed inbox, proposals go to the agent’s owner. Owners can delegate by role or person. Unattended proposals send a reminder after a set interval. The agent can check a proposal’s status and continue its work once it has been decided.
Edits are feedback
When a reviewer changes a proposal before approving, keep the edit alongside the original. Owners can then see where their agent is consistently slightly wrong and adjust its instructions. It is cheap agent improvement.
Beyond CRM
The pattern generalises: any system where agents make consequential changes benefits from one place to decide. The CRM is often where small teams first feel the need, because mistakes in customer data are highly visible.
FAQ
Does AI PRO CRM have an approval inbox?
No. Rather than reviewing agent writes, it restricts them: agents can read CRM data and, with the Assistant or Operator preset, add internal company notes within a daily cap. There is no approval queue.
Should approvals require two people?
For most CRM actions, no. Reserve dual approval for destructive or bulk changes above a size threshold.
Can approvals be done from email or chat?
Notifications can link to the item, but decide in the inbox so context and the audit record stay together.
